Job Overview

The purpose of this role is to coordinate workforce mobilisation, recruitment support, and HR administration activities. The successful candidate will ensure personnel are compliant, trained, and fully prepared for deployment across all projects.

Reporting & Relationships

  • Reports to: Managing Director
  • Key Responsibilities:
    • Workforce mobilisation
    • Recruitment coordination
    • Training matrix management
    • HR administration
    • Compliance tracking
  • Liaison with:
    Operations teams, project managers, accounts department, candidates, clients, and wider stakeholders.

Key Responsibilities

  1. Recruitment & Resource Coordination
  • Post job vacancies on platforms such as LinkedIn and Indeed
  • Monitor applications, review CVs, and support candidate shortlisting
  • Communicate with candidates throughout the recruitment process
  • Work with project teams to understand resource needs and timelines
  • Support rapid mobilisation for ongoing and upcoming projects
  • Maintain a pool of compliant and available personnel
  1. Mobilisation & Onboarding
  • Coordinate mobilisation to onshore and offshore sites
  • Ensure all personnel meet client and project compliance requirements
  • Manage training and certification requirements (e.g. GWO, OPITO)
  • Maintain and update the training matrix via SharePoint
  • Prepare contracts, offer packs, and onboarding documentation
  • Conduct pre-employment checks (references, right to work)
  • Arrange travel, accommodation, and logistics
  • Coordinate PPE requirements with stores
  • Support visa and work permit applications where required
  • Act as the main contact for new starters
  • Maintain accurate mobilisation records and personnel trackers
  1. HR Administration & Employee Support
  • Act as first point of contact for HR queries (leave, policies, procedures)
  • Support absence tracking and annual leave management
  • Maintain accurate employee records
  • Assist with onboarding and offboarding processes
  • Escalate employee relations issues where necessary
  1. Payroll & Reporting
  • Collect and validate payroll data (attendance, absences, changes)
  • Liaise with accounts to ensure accurate and timely payroll processing
  • Ensure personnel records align with payroll submissions
  1. Compliance & Process Support
  • Ensure all personnel documentation is complete and audit-ready
  • Track right-to-work documentation and certification validity
  • Support compliance checks and audits with HSEQ
  • Assist with continuous improvement of HR and mobilisation processes
  • Raise purchase orders on Xero and maintain the PO register

Requirements

Experience

  • Experience in workforce coordination, mobilisation, recruitment, or HR administration
  • Experience in a fast-paced, project-driven environment
  • Experience within energy, engineering, or industrial sectors (desirable)

Skills

  • Strong organisational and coordination skills
  • Ability to manage multiple priorities and tight deadlines
  • High attention to detail, especially regarding compliance
  • Excellent communication skills across all levels
  • Proficient in Microsoft Office and SharePoint

Qualifications (Desirable)

  • Familiarity with certifications such as GWO or OPITO
  • Experience supporting offshore or site-based operations
  • CIPD Level 3 (not essential)

Employment Details

  • Contract Type: Fixed-term (12 months – maternity cover)
  • Hours: 30 hours per week
  • Working Pattern: Full-time or part-time considered
  • Location: In person
